Magnolia Chiropractic Pty Ltd, trading as Noosa Family Chiropractic ("we", "us", "our"), is committed to protecting your privacy. Through our website, we only collect personal information if you choose to fill in our contact form. This is limited to details such as your name, email address, phone number, and the content of your message.

Through our clinic (not via the website), when you book an appointment or become a patient, we collect further information, including:

  • Booking information — appointment preferences, practitioner requested, appointment history

  • Health information (sensitive information under the APPs) — medical history, symptoms, treatment notes, chiropractic assessments, referrals, and other clinical records, collected via our practice management system, Cliniko, through digital intake forms sent directly to you (separately from our website)

  • Billing information — payment details, Medicare/health fund details where relevant (we do not store full credit card numbers; these are processed by our payment provider)

  • Technical information — IP address, browser type, device information, and browsing behaviour on our website, collected via cookies and analytics tools (see Section 6)

3. How We Collect Your Information

We collect personal information:

  • Directly from you, via the contact form on our website (name, email, phone, message only)

  • Directly from you, via Cliniko intake forms, sent to you separately once you book an appointment — this is how we collect your health and medical history, and is not connected to our website

  • Directly from you, in person or by phone, when you book or attend an appointment

  • From your chiropractor or other treating practitioners during clinical consultations

  • From third parties, such as referring practitioners or health funds, where relevant and with your consent

  • Automatically, through cookies and website analytics tools when you browse our website

4. Why We Collect, Use, and Disclose Your Information

We collect and use personal information to:

  • Book, manage, and remind you of appointments

  • Provide chiropractic assessment, treatment, and ongoing care

  • Maintain accurate clinical records as required by law and professional (Chiropractic Board of Australia / AHPRA) standards

  • Process payments and health fund claims

  • Respond to enquiries submitted through our contact form

  • Send appointment reminders via email or SMS

  • Send marketing communications, such as newsletters, health tips, and promotions (only with your consent — see Section 5)

  • Improve our website and services, using aggregated analytics data

  • Comply with our legal and regulatory obligations

We do not sell your personal information to third parties.

With your consent, we may send you appointment reminders and marketing communications (such as newsletters or clinic updates) by email or SMS.

  • Appointment reminders are a core part of managing your care; if you'd prefer not to receive these, please let us know and we will discuss alternative arrangements.

  • We comply with the Spam Act 2003 (Cth) and Do Not Call Register Act 2006 (Cth) in all marketing communications.

6. Cookies and Website Analytics

Our website uses cookies and similar tracking technologies to understand how visitors use our site and to improve our services. We currently use:

  • Google Analytics, to understand website traffic and visitor behaviour

  • Wix Analytics (our website is built on Wix), for site performance and visitor insights

  • Meta (Facebook/Instagram) analytics and pixel tools, to understand engagement with our website via social media and to help inform our advertising

These tools may collect information such as your IP address, device and browser type, pages visited, time spent on the site, and referring website or social media platform. Meta's tools may also be used to show you relevant ads on Facebook or Instagram based on your visit to our site.

You can disable cookies through your browser settings; however, this may affect the functionality of our website, including the contact form. You can also manage your ad preferences directly through your Facebook or Instagram account settings.

7. Disclosure of Your Information

We may disclose your personal information to:

  • Our clinic staff and chiropractors involved in your care

  • Cliniko, our practice management software provider, which securely stores your booking and health records and sends intake forms on our behalf

  • Wix, our website hosting provider, which processes contact form submissions and website analytics

  • Our payment processor, to process consultation fees

  • Other healthcare providers, with your consent, for referral or continuity of care purposes

  • Health funds or Medicare, where you request a claim be processed

  • Regulatory bodies or authorities, where required by law

Some of our service providers (such as cloud-based booking or hosting platforms) may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled in a manner consistent with the APPs.

8. Data Storage and Security

We store personal and health information securely, using a combination of encrypted electronic records and (where applicable) physical security measures. Access to your health records is restricted to authorised staff involved in your care or clinic administration.

We retain health records for the period required under Queensland health records legislation and professional guidelines (generally a minimum of 7 years for adults, and until age 25 for records created while a patient was a minor).

9. Access and Correction

You have the right to request access to the personal information we hold about you, and to request corrections if any information is inaccurate, out of date, or incomplete. To make a request, please contact us using the details in Section 10. We may need to verify your identity before providing access, and in limited circumstances permitted by law, access may be refused or restricted (for example, where disclosure could pose a risk to your health or safety).
